USER STORY

As a Back-Office User,
I want to add a manufacturer,
so that I can reference and reuse manufacturer details while registering assets in the Asset Library.

 

STORYTELLING

Sarah, a back-office user for Samoa Water Authority, receives new asset information that needs to be registered in SMART360. While adding the asset, she notices that the manufacturer details are missing from the dropdown. Sarah navigates to the Add Manufacturer form, enters the required details, and submits the information. The system successfully saves the manufacturer, making it available for future asset registrations, saving time, and ensuring data consistency.

 

GOALS

Enable back-office users to efficiently add and manage manufacturers to streamline the asset registration process and ensure consistent manufacturer data across the platform.

 

PROCESS FLOW DIAGRAM

MAJOR STEPS INVOLVED

  1. Back-office user logs into the AX module of SMART360.

  2. Navigates to Settings > Manufacturer.

  3. Clicks the "Add Manufacturer" button to open the form.

  4. Fills in the details such as Manufacturer Name, Contact Person, Contact Email, and Description.

  5. Clicks the "Submit" button to save the manufacturer.

  6. Manufacturer is now available in the Manufacturer Dropdown of the Asset Library's Add Form.

 

BUSINESS RULES

  1. Only authorized back-office users can access the Add Manufacturer feature.

  2. Manufacturer Name is mandatory and must be unique in the system and only accepts characters.

  3. Contact Email must follow a valid email format and no generic email address should be accepted.

  4. Description is optional but must not exceed 500 characters.

  5. A success message “Manufacturer successfully added” should display after submission.

  6. Changes to manufacturer details should reflect immediately across all forms where the manufacturer is referenced.

  7. Error messages should display for invalid entries:

    • For duplicate Manufacturer Name: “Manufacturer name already exists.”

    • For special characters or numbers “Enter valid details”.

    • For invalid email: “Invalid email format.”

    • For exceeding character limit: “Character limit exceeded.”

    • For not entering information in mandatory fields “This field is mandatory”.

  8. Clicking "Cancel" should discard the entered details and return the user to the Manufacturer list view.

  9. Created On should be automatically fetched from the local machine.

  10. Created By should be automatically fetched from the account user name.

ACCEPTANCE CRITERIA

  1. The "Add Manufacturer" form should open when the "Add Manufacturer" button is clicked.

  2. Manufacturer details should be successfully added to the system.

  3. Duplicate manufacturer names should trigger an error.

  4. Invalid email formats should trigger an error message.

  5. The success message “Manufacturer successfully added” should display upon saving the details.

  6. The newly added manufacturer should appear in the Manufacturer Dropdown in the Asset Library Add Form.

  7. The cancel button should discard the form and return the user to the Manufacturer list view.
