Organization Setup

1. What is the purpose of the Organization Setup in SMART360?
The Organization Setup allows System Admins to configure critical organizational settings such as currency, date format, and time zone. It also provides capabilities to invite and manage other System Admins, ensuring proper access and operational readiness.

2. Why can’t I proceed without completing the Organization Setup?
To ensure a consistent user experience and avoid data mismatches, the system enforces mandatory settings (currency, date format, time zone) before allowing access to other modules.

3. How do I set the currency, date format, and time zone for my organization?
Go to the Organization Setup page, click on the "Edit Settings" button, and select the appropriate values from the dropdown menus for each required field.

4. What happens if I don’t set the currency, date format, or time zone?
The setup progress tracker will show an incomplete status, and the system will restrict further configuration or access to other features until all required fields are completed.

5. Can I modify organization settings later?
Yes, you can update currency, date format, and time zone by clicking the "Edit Settings" button, though some fields like organization name and admin email are locked post-registration.

6. What does the setup progress tracker indicate?
It shows the real-time completion status of mandatory configuration fields in the Organization Setup page.

7. What happens when setup is fully completed?
Once completed, the organization gains full access to platform modules, and settings are reflected across the entire system.

8. Is there a separate setup flow for different countries or regions?
No. However, you can manually set the correct country and time zone to reflect your region-specific preferences.


System Admin Invitation & Management

9. How do I invite another System Admin?
Enter their full name and email address in the designated section of the Organization Setup page. Click “Invite Admin” to send an invitation email.

10. What are the states of a System Admin account?

  • Activation Pending: Invited but password not yet set.
  • Active: Password setup completed.
  • Deactivated: Admin has been disabled and cannot access the system.

11. Why is the “Invite Admin” button disabled?disabled in organization setup?
It becomes active only when both email and full name fields are filled correctly.

12. What happens if I try to invite a user who is already active?
The system will show the message: “Already active in system.”

13. What happens if I try to invite a user who was already invited?
The system will display: “Already invited.”

14. Can I resend the invitation email?
Yes, use the resend icon to trigger a new email for users who have not completed password setup.

15. How do I edit an existing System Admin?
Click the pencil icon next to the admin’s name to edit their name (email cannot be edited).

16. Can I remove a System Admin?
Yes, use the trash icon to remove them. You can reinvite them later if needed.

17. How do I deactivate or reactivate a System Admin?
Use the toggle switch. Deactivated users will lose access until re-enabled.

18. How many System Admins can I add?
Currently, the system supports multiple System Admins; 2 admins are added by default.

19. What happens after an invited admin sets their password?
They move from “Activation Pending” to “Active” status and gain full access.


Subscription

20. Where can I view my organization’s subscription details?
Subscription details will typically be available in a separate “Billing” or “Subscription” tab within the dashboard (feature availability may vary by release).

21. Can I change my subscription plan later?
Yes, based on platform support and policy, admins can upgrade or downgrade plans.

22. What happens if the subscription expires?
Access to premium or restricted features may be limited until the subscription is renewed.

23. Will organization settings remain intact after a subscription lapse?
Yes, your data and settings remain saved but access to certain features may be disabled until the subscription is reactivated.


Dashboard

24. What insights can I get from the Organization Setup Dashboard?
It shows setup progress, pending admin activations, key configuration statuses, and other actionable alerts to guide completion.

25. How is the setup progress calculated in the dashboard?
Each completed field (currency, date format, time zone, at least one active admin) contributes to 100% progress.

26. Can I see which settings are missing directly on the dashboard?
Yes. The dashboard highlights incomplete fields and provides direct links to update them.

27. Are there any alerts or reminders for incomplete setup?
Yes. You will see banners,incomplete badges,progress or alert messagesbar until setup is fully complete.

28. Who can access the dashboard?
Only authorized System Admins can view and interact with the Organization Setup dashboard.

29. Can the dashboard display the last login of other System Admins?
Yes. It shows the last login timestamp or “Never” if the admin has not logged in yet.

30. Does the dashboard auto-refresh on changes?
Most dashboards support auto-refresh or require minimal manual refresh to reflect updates like new admin invites or completed settings.
